The Events page provides comprehensive event management features:
  • Create and manage school events
  • Calendar and list view options
  • Event filtering and search

Accessing Events Management

Login to Admin Dashboard

Access the TalaTalk web admin dashboard and log in with administrator credentials.

Navigate to Events

Click on the Events tab in the main navigation menu.

View Modes

Calendar View

Visual month/week view displaying events on their scheduled dates with color-coded event types

List View

Detailed list of all events with advanced filtering and bulk actions

Creating an Event

Click Create Event

Click the ”+ Create Event” button in the top right corner.

Fill Event Details

Complete the event information form:Required Fields:
  • Event Title: Name of the event
  • Description: Description of the event
  • Start Date & Time: When the event begins
  • End Date & Time: When the event ends
  • Event Type: Select from available types
  • Location: Event Location
  • Assign To: For all classroom or specific classrooms

Set Event Type

Choose the appropriate event type:
  • Meeting: Staff meetings, parent-teacher conferences
  • Conference: Larger gatherings, seminars
  • Activity: Field trips, sports events, club activities
  • Exam: Tests, quizzes, final exams
  • Holiday: School holidays, vacation days
  • Other: Miscellaneous events

Save Event

Click “Create Event” to add it to the calendar.

Event Status Management

Events can have different statuses throughout their lifecycle:

Scheduled

Event is planned and upcoming

Ongoing

Event is currently happening

Completed

Event has finished

Cancelled

Event has been cancelled

Changing Event Status

Locate Event

Find the event in calendar or list view.

Open Event Details

Click on the event to view details.

Update Status

Select the new status from the dropdown menu.

Save Changes

Click “Update” to apply the status change.

Editing Events

Select Event

Click on the event you want to edit from either view.

Click Edit

Click the edit icon or “Edit Event” button.

Modify Details

Update any of the event information as needed.

Save Changes

Click “Update Event” to save your modifications.

Search Events

Use the search bar to find events by:
  • Event title
  • Description
  • Location
  • Event type

Filter Options

Show only specific event types (Meeting, Conference, Activity, Exam, Holiday, Other)
Display events based on their status (Scheduled, Ongoing, Completed, Cancelled)
View events associated with specific classrooms
  • All Time: Show all events
  • Today: Events happening today
  • This Week: Events in the current week
  • This Month: Events in the current month
  • Upcoming: Future events only
  • Past: Completed events

Bulk Operations

Manage multiple events at once using bulk actions:

Select Events

In list view, check the boxes next to events you want to manage.

Choose Action

Select from available bulk actions:
  • Bulk Delete: Remove multiple events
  • Bulk Status Update: Change status for all selected

Confirm Action

Review the confirmation dialog and proceed.
Bulk delete operations cannot be undone. Make sure you’ve selected the correct events before confirming.

Classroom-Specific Events

Associate events with specific classrooms for targeted notifications:

Create or Edit Event

Open the event creation or edit form.

Select Classroom

Choose the classroom from the dropdown menu.

Save Event

The event will now appear in that classroom’s calendar.
Benefits:
  • Parents only see events relevant to their child’s classroom
  • Teachers receive notifications for their classroom events
  • Better organization and less notification clutter

Recurring Events

Set up events that repeat on a regular schedule:
Events that occur every day or every X days.Example: Daily assembly, ongoing activities
Events that repeat on specific days of the week.Example: Weekly staff meeting every Monday, PE class every Tuesday and Thursday
Events that occur on the same day each month.Example: Monthly parent-teacher conference on the first Friday
Annual events on the same date.Example: Founding day, annual sports meet

Recurrence Settings

When setting up a recurring event:

Enable Recurrence

Check the “Recurring Event” checkbox.

Choose Pattern

Select recurrence frequency (Daily, Weekly, Monthly, Yearly).

Set End Condition

Choose how the recurrence ends:
  • End by date: Specific end date
  • After X occurrences: Number of times to repeat
  • Never: Continues indefinitely

Configure Details

For weekly: Select days of the week For monthly: Choose day of month or relative day (e.g., “First Monday”)

Notifications

Events automatically trigger notifications:

Event Created

Parents and teachers receive notification when new events are created for their classrooms

Event Updated

Notifications sent when event details change (time, location, status)

Event Reminder

Automatic reminders sent 24 hours and 1 hour before the event

Event Cancelled

Immediate notification when an event is cancelled

Calendar Navigation

Month Navigation

Use the left and right arrows to move between months.

Today Button

Click “Today” to jump to the current date.

Date Selection

Click any date in the calendar to see events for that day.

Event Details

Click on an event marker to view full event details.

Best Practices

Make event titles clear and informative so parents and teachers immediately understand what the event is about.
Include important details like what to bring, dress code, or special instructions in the event description.
Ensure start and end times are correct to avoid confusion and scheduling conflicts.
Include specific location details (room numbers, building names) for in-person events or meeting links for virtual events.
Choose the correct event type for proper color coding and categorization.
Link events to specific classrooms when applicable to ensure relevant notifications.
Keep event statuses current so everyone knows which events are upcoming, ongoing, or completed.
Add events well in advance so parents and teachers can plan accordingly.

Troubleshooting

Problem: Created event doesn’t appear in the calendar view.Solutions:
  • Check that the event date is within the currently displayed month
  • Verify event status is set to “Scheduled” or “Ongoing”
  • Clear any active filters that might hide the event
  • Refresh the page
Problem: Recurring event only creates some instances.Solutions:
  • Check the recurrence end date or occurrence count
  • Verify there are no date conflicts
  • Ensure recurrence pattern is set correctly
  • Try creating the series again
Problem: Event deletion fails or button is disabled.Solutions:
  • Verify you have administrator permissions
  • Check if event is part of a recurring series (must specify which to delete)
  • Refresh the page and try again
  • Check network connection
Problem: Cannot find classroom when creating event.Solutions:
  • Ensure the classroom has been created in the system
  • Verify classroom is marked as active
  • Refresh the page to reload classroom data
  • Check that you have permission to access that classroom

Integration with Mobile Apps

Events created in the admin dashboard automatically sync to:
  • Teacher Mobile App: Teachers see their classroom events
  • Parent Mobile App: Parents see events for their child’s classroom
All event updates, cancellations, and notifications are pushed in real-time to mobile devices.
Events are a powerful tool for keeping the entire school community informed about important dates and activities. Regular use and maintenance of the calendar helps ensure everyone stays up to date.
